ISR Meeting Notes Minutes 01-9-2016 Rino L.docx  Next Meeting TBA

Information Services Reboot Meeting (Notes/Minutes Rino Landa)
1/7/2016
9-12:00 at Osprey

In Attendance: Rino Landa (Notetaker) (Jacaranda), Victor (Elsie Quirk), Katresa Gardner (Venice), Lisa Faber (Gulf Gate), Jane Burke (Selby), Pat Alba (Osprey), and Ellen India(Facilitator) (Public Services).

Please see agenda for details not covered in these minutes.

1) Tour of Osprey Library by Pat
2) Review of Staff Development Day meeting by Ellen
* Discussed PIGS and WIGS
* Feedback from SUNCAT search default to KEYWORD (from TITLE)
* Some criticism was brought up: concern that the keyword search is not "as proper" a search as title; that we are losing the opportunity to teach patrons how to conduct good searches.
* Positive points: the search is more similar to Google searches, which are what patrons are used to doing.
* FOLLOW UP: Recommended that we re-evaluate the use of KEYWORD in 6 months.
* NEW TOPIC: SUNCAT Location Clarification
* It was brought up that patrons are often confused by the location of materials when they are using the catalog.
* Jane suggested a "where is it map" for materials in the catalog.
* Passwords for printing discussed: no updates as to when/if this will happen.
* It was recommended that patrons use the last 4 digits of their library card/or pass as the password (not SNN as written in the agenda).
3) Windows 10 Classes
* Consensus is that there are many requests for more Windows 10 classes
* Classes are currently offered at a couple libraries: Gulf Gate (volunteer led) and Jacaranda (Rino).
4) Internal Resources: Skills Sheet and Shared Drives
* General support for the idea for a list of staff skills and interests
* FOLLOW UP: How will the data for the sheet be collected and how will it be shared?
* Ellen reminded everyone of the location of common forms and guides on the shared drive
* NEW TOPIC: Adding user guides to databases and other resources under the "Research Help and More" section of the website.
* Example: Manatee County Libraries have guides for their databases that can be clicked on and opened.
* FOLLOW UP: Check with Laurie and EIT (?) to see how we could provide guides (as PDFs) on the site.
5) FaxScan24 and other Faxing Services
* Overview of feedback from calls/emails to library systems using FaxScan24.
* Lisa informed the group that Pasco Libraries have decided to remove their fax stations due it being "not worth the staff time" to run.
* Overall the fax service seems to be a "mixed bag"
* Victor brought up the option of using FaxZero, an online faxing service that uses scans, as an alternative.
* Other similar options were discussed.
* FOLLOW UP: The option to use FaxScan24 has been paused for consideration. Alternatives, such as Envisionware's "Library Document Station" are to be researched.
* Envisionware "Library Document Station"(see Katrisa's report for more info)
* Discussion of the station as an alternative to FaxScan24.
* Some reservations about the potential cost of the system were expressed.
* Positive support due to the system being more convenient and offering more services.
6) Manasota211.org --> Now www.uw211manasota.net/ vs. Right Service at the Right Time
* Brief discussion about the website and its new domain name
* Team agreed to distribute the United Way 211 Manasota materials to libraries.
* FOLLOW UP: Ellen will send out the materials to the libraries.  IS Team will train and inform staff of the resource and distribute/make available the promo materials.
7) Roaming vs. Roving vs. Floating (vs. Jedi)
* A brief discussion on what to call the service
* Roaming "sounds like mindless zombies"
* Roving "evokes the image of a Westside Story-eque band of librarians"
* Floating and Information Jedi (Victor) were also offered as alternatives
* Roaming seems to be winning
* Ellen discussed the need to think about community needs and how roaming can help people feel more open to asking questions.
* Example of the Downton Abbey support group at North Port was brought up
* Saying hello and other simple things that can help break down barriers to service
* The fact that not all staff will be comfortable (i.e. those who are shy) was recognized as something that needs to be addressed when implementing roaming.
* Roaming was discussed in relation to getting people's attention for help - particularly the frustrations of not getting people to approach Reference desks.
* FOLLOW UP: Ellen will meet with Andrea T. and Carolann to start developing best practices/FAQs to be presented to management team.
8) IS Reboot Wiki
* Victor helped Lisa and Pat setup their accounts to use the IS Reboot Wiki
9) In-House Checkout Procedures for tech devices
* Andrea T. is working to create uniform procedures based on what has been done at EQ for circulating laptops and mobile devices in the library.
* Devices are likely to be checked out on a patron's card (in good standing).
* Patron's will likely sign an agreement acknowledging the replacement cost for the device and their responsibility to cover its replacement if something happens.
* NEW TOPIC: Blue coating on the iPads (and other devices)
* Victor brought up the fact that the lone patron that borrowed an iPad was blue coated.
* It was mentioned that there is a printed form that can be submitted from unblocking.
(a) An alternative to the form is found in a link when you encounter a blue coat message: just click on a link found at the bottom of the blue coat screen to submit a request to unblock to EIT; they may not respond.
* NEW TOPIC: 3D Printers
* 3D printers were brought up during the discussion of devices
* Jacaranda has a 3D printer - purchased for about $600
* EQ almost had a printer but it seems that "safety concerns" might have stopped the donation
* Other libraries considering or about to get a 3D printer.
* ROKUS
* Some concerns expressed about instructions for the ROKUs and troubleshooting problems
* Rino explained that Andrea T. has created a brief instructional insert that will go into the bags
(a) This will mostly cover how patrons can connect to the internet
* ROKUS are still being returned through drop boxes --> we don't want this! ROKUS should be returned to a service desk.
(a) Being returned to a desk allows staff to check that all the parts (4 items) are returned.
* Wi-Fi Hotspots
* Ellen, Victor, and Rino discussed how Wi-Fi hotspots work and other systems (in NY) that have lent them out to patrons.
* Team supported the idea as a way of increasing access to information
* Would work well for seasonal patrons
* Would likely be checked out in a similar way to the ROKUS
10) NEW TOPIC: Periodicals/Serials Check-in Procedures
* Several committee members expressed their opinion that the new serials check-in procedure is more time consuming and inefficient when compared with past paper-based methods
* Jane mentioned that she still keeps a spreadsheet in addition to the Sierra logs as this allows her to see "gaps" in arrivals - for example, if she doesn't get a periodical in several weeks she can tell right away, which is not necessarily the case with Sierra.
* Rino mentioned that there is few staff trained to properly check-in the periodicals and check-ins might be missed when someone else processes the periodicals and just writes a note with what came in (a note that can be easily misplaced/lost).
* There is added time needed to update the Sierra boxes when old issues are removed.
11) Telepresence Update
* Rino reported that Selby is having substantial problems with its Telepresence system - mostly recently with an inability of Selby to project video in the auditorium (major problem); Jacaranda is having less day-to-day problems, but the teleconferencing program (the main reason why the system was installed) is not working.
12) Wrap up
* No date for the next meeting set.

Prepared by Rino Landa, 01/08/2016

Jan. 7 Agenda and Reports (Copied from Wiki):

January 7 2016 (9-12), Osprey @ Spanish Point
Agenda & Reports:
1. Reports on FaxScan 24:
A. Lake Placid: Librarian has been there 6 months- says it is a small, quiet library, and that the Faxscan24 sees about 1 use per day and there have been no issues or problems with it. (now waiting on a promised email with more info. from the Lake Placid Librarian), (Victor L., Nov 10, '15)
11/23/15 VL:
Just tried successfully with
Faxzero.com
to test fax to EQ a one page PDF via the Internet-(offers 2 free faxes per day- 3 pages long)
however I had to use my yahoo email to click a confirm to send button as both Hotmail and scgov.net didn't even get the confirm email in their spam folders...
(and their next page after clicking to send to your email- is a warning not to send to Hotmail- as Hotmail has them on a block list...)
Had to give an email and a phone number- am not sure what their privacy policy is.

B. November 13, 2015 Winter Haven,
I , (Katresa G.) spoke with Linda Babli, reference librarian/ FaxScan24 representative.  She stated that the system was 100% self-service and works very well and the staff not support or maintain the kiosk.  The library has been using FaxScan24 since 2009.  The steps are very simple to follow and patrons must use the phone to follow prompts in order to successfully complete a fax.  The library receives 5% proceeds from service which she stated as a benefit to the library.  The vendor supplies all of the paper and is very efficient in rapidly responding to sending paper when requested.  The library uses a regular phone line that is dedicated solely to the fax service.  The cost to fax is $1.75 for the first page and $1.00 for any additional pages.  Linda noted that there have not been any technical problems with the kiosk itself.  The only minor issues are when patrons have papers that are not fit to scan (i.e. wrinkled paper or torn paper).  One concern that I brought up is our patron demographics (i.e. elderly).  The fax service is via phone and could be a potential problem for patrons with hearing impairments.  Linda agreed.   Overall, she stated that she would recommend the service to other libraries.
Linda noted at the end of our conversation that the library will be moving to a new system at the end of December by EnvisionWare called Library Document Station.  This will be a costly move but has more features that will benefit their library and surrounding libraries are migrating toward it as well.
Here is the link to the new system: http://www.envisionware.com/lds

C. December 12, 2015 Okeechobee County Public Library
Ana Feliciano Chico - I called and the librarian I talked to told me they had to send their fax machine back because they didn't have an extra phone line for it. She said they tried using different phone lines, but it would disrupt the use of those lines so they made the decision to return it.

D. 1/4/16 Sebring Public Library - Rino
Notes from Seabring Library call:
* Fax is self-service, but staff is occasionally asked for help by patrons.
o Some patrons are harder to convince that they can do it on their own.
o Can't really help them because all instructions occur over the phone.
o There are credit card numbers that must be inputted.
* Not a money maker.
o The revenue from the fax service has not paid for the extra phone line that had to be put in - it's been a little over a year since faxing started being offered.
* Patrons complain about the fixed costs of the fax service.
o Staff has no control over prices and has to remind patrons of this fact.
* Fax service is interrupted by the auto-dialing system the library uses for notices.
o Not clear why the lines are competing with each other.
* There have been no maintenance problems for the equipment during the past year of use.
* Overall, the library is glad that they can offer the fax as a service.
E.  1/5/16 Hardee Public Library - Jane
Spoke to Rhonda and she told me that the fax service is successful and she would recommend.  They have had Fax24 for about a year and the only issue they had was with the scan function - a customer's scan to email turned out to be all scrambled.  There is very little staff involvement, mainly just telling customers where it is.

2. Learn to use a wiki- members who haven't made or edited a page will get hands on experience. (remember to create your username/login before the I.S.R. committee meeting day and bring your email password. Victor will bring iPads and Laptops.

3. Uniformity of in-house checkout procedures for iPads , Laptops, Notebooks
   A. and for out of house check-outs- (Rokus)
  B. Desirability of  checking out Wireless Hotspots?

Information Services Reboot Meeting Minutes Nov 5 2015 Jane B.docx

Information Services Reboot Meeting
11/5/2015
8:30 - 12:00

In Attendance: Rino Landa (Jacaranda), Victor (Elsie Quirk), Katresa Gardner (Venice),  Ana Feliciano Chico (Fruitville), Lisa Faber (Gulf Gate), Jane Burke (Selby), and Ellen India (Public Services)

Ellen began the meeting talking about the history of the Information Services team:
Began as Reference Representatives
Continued as implementation teams for the Information Services Strategic Plan developed in 2009.
Morphed into the Information Services Reboot Team
Ellen said it was necessary to establish an organization mode to move forward - who are we as reference staff.
Ellen passed out the "Information Services Policy" document that outlined what services we provided and asked for feedback.
Rino and Ana remarked that they weren't entirely comfortable referring to patrons as "customers" and asked if that was the accepted term.   Jane replied that customer was the suggested way to refer to our patrons as a result of our meetings on the strategic plan with Ruth O'Donnell.
We talked about the section on printing at the reference desk which detailed charging for printing.  Most do not charge for 10 pages or less.  More than 10 pages are charged at 15 cents a page.  Victor suggested adding "At the discretion of the staff".
Rino remarked that "scanning to USB" was not mentioned and perhaps should be added.
Rino asked how many of us were using the print shop to produce flyers.  Jacaranda is using this service regularly for their flyer/calendars in color.  The process is easy and the results are good and fairly quick. The minimum to print should be 100 and Anne Hardy is the liaison with Communications.
Ellen mentioned that copyright regulations were not mentioned in the policy and asked if anybody had copyright disclaimers near our photocopiers.
Ellen passed around the mission statement of the Information Services Team and asked if we wanted to add anything to it:
The Information Services (IS) Reps Standing Committee is charged with guiding and evaluating IS strategic plan implementation. In addition, it provides consulting services to the management team and other system committees on IS policies, acquisitions, customer service, staff development, and other relevant issues.
We talked a little about what we should call ourselves
Think Squad
Why fi
Victor said perhaps we should call ourselves the IS Reboot Team or ISRT

Ellen stated that Susan Cortright has been sending out stats on our databases and how important it is for staff to market the databases.
Ellen showed us a button and a flyer being used at Elsie Quirk that said "Please interrupt Me" to be worn or posted to show customers that we are ready and willing to answer questions.
Victor said he had developed a button that looked like the insignia from the movie, "Tomorrowland".  He said wearing that button elicited many questions about the significance of the button which started the conversation with the customers (even more than the "Please Interrupt Me" button.
Ellen asked that we think about this and other service models that would encourage people to approach and ask us questions.
Ana said she puts a "Foreign Language" sticker (like those used on the spines of books) to let people know she speaks Spanish.
We then turned to the subject of the standardized descriptions of computer/technology classes held at our libraries.
We suggested adding "Overdrive Basics" to cover formal classes held to teach Overdrive (as opposed to the drop in E-help/eBook sessions).
Ellen suggested that we create an Internal Resource Sheet that would list staff's special skills and interests that could serve as resource to other staff.  For instance, if someone were especially interested or adept at genealogy research, they could be available to help less skilled staff members.
Rino suggested that we create a skill set survey by Staff Development Day so that we could canvass employees as to their interests and skills.
We talked a little about the placement of shared documents in the I: drive.  Ellen has placed common forms, Overdrive user sheets, etc.  in the I: drive.  Here is how to find them.  Go to:
"My Computer"           Network Location I: drive              CSBC Share Folder           Libraries Share Folder
Information Services Reboot Files Folder
We discussed the issue customers were having with saving to the desktop, particularly the error message that pops up before it will let you save.  Victor said he had sent in a ticket for each of their public computers and he said that solved the issue.  Ellen said she was going to check with Angie again about this issue.
Next we discussed the status of some of our PIGS, Pretty Important Goals, and our WIGS, Wildly Important Goals.
Faxing: Ellen provided us with a handout outlining an outside source, FaxScan24 that provides a kiosk that would allow for self-service faxing.
It would be no cost to the library.  The customer would pay for this service by credit card or one of their prepaid fax cards (this form of payment would be optional to the location).
There was a list of libraries in nearby areas that currently us this service so we each will call one and ask the library : how long they have used the service, have there been any issues, how much staff involvement have you experienced, and whether they would recommend this company.
Callers: Jane - Hardee County Public Library , Lisa - Pasco Libraries, Rino - Sebring Public Library, Victor - Lake Placid Library, Katresa - Winter Haven Library, and Ana - Okeechobee County Library.

Interlibrary Loan - will it ever return?  Some different models have been considered but none were really viable.  The management team will continue to talk about it.
Technology Coordinator position whereby there will be one person tasked with organizing the technology needs of customers and staff.  This position is currently in the works and will be posted after some other critical posts have been filled.
Ellen asked for volunteers to compare Manasota211.org with Right Service at the Right Time webpage (which is listed under our "Research Help and More", "Web Resources" links.  Ellen has promo material (flyers and bookmarks) that tout the Right Service at the Right Time website and she wants to know if it is worthwhile distributing or if Manasota211 is better.  We all offered to take a look at both and report back.
Victor talked about Elsie Quirk's new "loanable" IPads.  Customers can check them out for in-house use only; they are tagged so the alarms will sound if people attempt to leave with them.
Fruitville will have a portable computer lab with laptops to use for computer classes since they have no computer lab.
Library Website Redesign:  Laurie Bates-Weir, our webmaster, took our suggestion about making our database link more prominent on the page.  She and Ellen decided on the term "Web Resources" and put a button in the "prime real estate" at the center of the page.
Ellen talked about how in the future Adult Services may build their own page, like the kids' and teens" pages.  Anna asked if keyword could be the default for catalog searches instead of title since many customers do not know the exact title of a book they might be looking for.  Ellen said she would pass that suggestion on.
Ellen asked for help with checking for updates for the individual devices handouts from the Overdrive site.  Victor volunteered to monitor the IOS Devices, Ana volunteered to do the Android flyer, Rino volunteered to do Kindles (both the readers and the tablets).
Victor showed us how to use the wiki he had set up for the Reference Reps.  We will use this wiki to communicate and upload documents and articles.
Our next Pretty Important Goal was Roaming:
Victor gave us a report on the results of roaming at Elsie Quirk.  He said it took him about 60 seconds to roam around the 1st floor, checking with customers to see if anybody needed any help.
Rino sent out a document that detailed how the staff at Jacaranda is roaming  - 2 hour blocks with suggested other tasks like straightening and shelf reading when there are no customers that need aid.
Ellen suggested that each library will need to customize their roaming service and staff due to traffic patterns and different layouts.
At Fruitville, Ana reported that they have informal roaming, every once and awhile staff will walk through the stacks so they are aware of customers.  This also is a security measure.
Katresa at Venice said that they do likewise - just to get up and walk around.
Lisa from Gulf Gate discussed the issues with people needing help on their 2nd floor.  Lisa also walks around and checks in with patrons.  She wants to know who is in the library.
Ellen read from an article that said that some libraries started roaming programs when their reference statistics went down.  Some of the benefits of roaming:
making sure all customers are finding what they need
with the use of tablets, staff becomes more comfortable with the use of technology,
it addresses some security issues
staff is more visible to customers
it gives more options for points of service
Ellen also mentioned that the Manatee County Libraries have a roaming program and they found that they mostly helped customers find materials.
As a next step we will discuss roaming programs on Staff Development Day.
Our next meeting will be in January.  We will arrange to meet at Osprey Library so Pat can attend.

8/20/2015 I.S. Services Reboot meeting, informal minutes:

Present: Ellen India, Jane Burke, Rino Landa, Susan Cortright, Lisa Backer, Lisa Faber, Joy Svejkovsky, Victor Lorand, Janita Wisch; Absent: Amanda Morrison (NS), Ann Hall (Venice)

I.S. Reboot Meeting Aug 20 2015 Agenda Notes E.I..pdf

Ellen reviewed the former/current I.S. Mission statement and policies- ISR committe disccused and asked to add the category "Innovation" as part of the I.S. purview* (Ellen rewriting? for next meet?)

  A. Rino mentioned that in reading the current policies & procedures document he found little relevant to I.S.- Ellen said she would provide copies of past?/current documents. Jane mentioned these can be found in enet.

*B. Ellen reiterated the committee's/I.S.'s purview: Policies, public service, practices, research support of Mgt, Customer service, (and innovation)

Susan on databases: WT Cox periodicals review time is coming up.

Flipster now has Consumer Reports, and the price went from 19k to 30k (approximately 5% of subscription pricing)

Database review time is March (in general) for SCPL

Worldcat's stats were "not great" and the price has gone up---take a look/ask other's opinions and give an opinion on its usefulness

Ellen has sent new handouts for Overdrive, they are now dated- so as to distinguish what version one has and aid in discard. Victor mentioned that the public copier scanners can scan them in color, allowing printing them in color for those needing more copies ASAP (providing they have a color printer on site)

The ability to scan and save to Flashdrives was gone over (disallowing free printing was ironed out)

Rino recommends each FOL bookstore sell Flashdrives (JAC FOL does- appears to be the only one so far)

Periodicals checkout has discontinued at JAC and other branches.

Next steps- not discussed. Mentioned- snowbird patrons do comment that they can checkout mags at their libraries.

Electronic space for I.S. documents was discussed. Ellen said that a SharePoint space is coming. Meanwhile there is the Ishare space: in bccshare,I drive underCSBC, under Libraries-share: Information Services Reboot" folder.

Rino complained that the information about Reference/Information services is "scattered"

Rino speculated about using the Knowledge base that Hal Harmon inputs to and /or?

https://cckb.scgov.net/search.aspx

(Victor failed to remention this wiki or something like it as a potential resource for gathering/organizing needed Reference info together)

Branding and naming if I.S.

    a. Naming the Information Services Reboot Committee was discussed (not discussed/distinguished: Naming of the committee or also of Information Services?)

1.) Re: Branding/ Roaming(see #3, below): Rino suggested having a button for Roamers/Rovers/I.S. staff, what to put on a button was discussed

consensus, if having a button, then to have something friendly and welcoming:

Suggestions: "Friendly Staff" on a Smiley image, "Pathfinder", "I Don't Bite" (Erin Clay, post meeting)

a.) Mentioned: Button makers are at several libraries

Ellen stated that the Standarized technology classes descriptions were generally agreed upon.

The idea was suggested and discussed of making a database of subject experts.

The need to provide a NEO trainer for introducing new emnployees to the library databases was discussed and agreed on.

Saving and printing Google drive and PDF documents was discussed and noted to be a problem at multiple libraries- no one has written a ticket recently about it. Example: patron has a Google drive document open- but it won't print---only tech savvy staff/patrons can figure out that they need to close it, then download the pdf- and if it won't save to the desktop (though the computers are supposed to now allow that), then it is needed to save to a Flash drive- to then open the PDF from and then print.

Ellen mentioned the coming problem for lack of support by 2017 of the current version of Evanced and Reserve calendar that works with it and the inadequacy of Wandoo. Discussed/mentioned: the libraries need for certain features which Evanced in its new version does not want to alter for the library in any way. Example the need to allow recurring visitations, to restrict to requiring an event type.

Parks and REc is also part of the Evanced Reserved calendar loop.

Important goals of ISR:

1. Faxing service (for situations where scanning and emailing is not a workaround):

    Possible solutions, brainstorming:

      a. allow faxing for a fee

      b. In bigger libraries, a kiosk inside or next to libraries run by a company  such as UPS, Office Depot ...

      c. Faxing on the current printer/copiers was investigated- but had a high cost- (mentioned by?)

2. Interlibrary Loan for a fee

      a.  Rumor: Something was in the works- Ellen? to ask what stage it is/was in

3. Roaming/Roving

     a. Each library will report how they roam/ how they perceive roaming/- how they want roaming to be done at their library (including: who should/will roam)

     b. Rino to report on? how Manatee Cty lib. runs their Roaming Kiosks- what eqpt. (Headphones, tablet)

1.) Does Orange Cty still perform roaming?/ other library comparison

2.) Jane mentioned the use of a 1st floor kiosk, in front of entrance door in Selby

    c. Rino mentioned that roaming is particularly beneficial for 2 floor libraries that may only have a Reference/I.S. desk on one floor.

4. Discovery/ Federated Searching: Susan stated that Encore- (Millenium/III) is needed for Discovery to work as it should with the library's software, and it is "expensive"- (no price mentioned)

   a. For Flipster magazines-  Rino suggested hand typing in the records  into the SCPL Catalog to guide users to the Flipster site. (Who to suggest to/ask to do?)

  b. Victor reiterated that Discovery/Federated searching is a solution to the lack of/small Web page presence of the Reference databases on the Library front webpage.

5. Greater Wepage presence of Reference databases/ Interface redesign of Webpage. The committee discussed need to have input to the Tech. committee (Rino and Victor are on the Tech. committee)

    a. Increased print size of "Research databases" and the other print on the front webpage was recommended and eliminating certain redundancies (Rino)

    b. Victor sent his recommendations for Tech for the Tech Committee (Tech Com. meeting on 8/21 was rescheduled) to Rino

   c. Ellen mentioned a  Tech. Coordinator taking over that part of Andrea's G.'s job will be onboard shortly but probably will be a liaison to I.T., not able to make changes.

   d. Rino mentioned that if tablets were bought he would recommend/want getting equipment supported by I.T.

6. Core -Reference Book collection information- with the weeding of Reference books, Rino commented on having difficulty in finding adequate resources for deciding on what constitutes a good core collection of Print Reference books.

Lisa Faber agreed to be the I.S. represetative on the OPs team.

Also included with the Agenda Notes, two Harwood documents (Turning outward). The committee members expressed familiarity with the documents.

Rino said he will provide his informal one page help with personal device of patrons guidelines.

Also in the agenda notes but not discussed:

"Contributions to SCLS-FB, Twitter"

5/22 note: "Hello,(from Ellen India)

It was great getting a chance to spend some time with each of you yesterday. I am very happy to have all of us together again and look forward to our planning sessions. I have put the documents you requested on the I drive here:

I:\CSBC\Libraries_Share\Information Services Reboot files

I had originally thought we’d meet again in August, but maybe you’d like to get started sooner? Please let me know if you’d like to meet sooner or if August is fine. If we could get a little further down the road we’d be in a better position once Staff Development Day comes along to have something to discuss with the larger IS group. But, if you’re busy and want to wait, that’s fine too- let me know.

Once the votes are in I’ll schedule an apt.

Thanks again everybody-

Ellen India

Adult Services Coordinator"

5/21 Victor's informal meeting notes:

Present: Ellen India (Moderator/Facilitating), Janita Wisch (NP), Joy Svejkovsky (NP) Jane Burke (Selby), Rino Landa (Jac.), Richard Hodder (GG), Todd Tyrna (Venice), Susan Cortright (Collection Development), Victor Lorand (EQ), Lisa Faber (GG), Lisa Backer (Fru.)

Agenda:IS Think Squad 2015 reboot Agenda May 21 2015.pdf

Ellen gave a history of the formerly RefReps, now- rebooted Information Services committee's former duties and accomplishments and suggested composition of the committee be rotated among Reference staff at each location at a time interval of their choosing.

Ellen s Note re IS reboot meet 5 22 2015.pdf

Janita described some more of the history of the committee:

JWisch presentation handout 5 21 2015 The way we were.doc

Other handouts:

The Importance of Being a Reference Librarian David Tyckoson Oct 2014 Booklist Online.pdf

Libraries equal Education vision.pdf

Harwood Turn Outward exercise.pdf

Joan Frye Williams words of inspiration for Librarian staff.pdf

Susan Cortright (Collection Development):

Explained the relationship of Collection development and Reference/Information Services.

Collection dev. and Andrea G. took over taking care of Challenged materials (from Refreps/I.S.)

Collection dev. screens donations and sends back unwanted items. (Susan said it is most useful to know how many holds (post-it noted) each item has on it)

Collection dev. is the main contact for Database trials.

Access Videos- enabling "AWOD"? films allowed Access videos to work on her personal PC- a ticket has been submitted to I.T.

Discussed/Mentioned/Asked:

SharePoint site for I.S. committee is being redesigned. Rino suggested using the I-Drive (in addition to email)

Ellen mentioned that Victor has kept the former scplrefreps.pbworks.com website alive.

Re: Databases

Chilton's will no longer be publishing its books. The decision to drop Chilton's was based on "statistics".

The committee suggested asking Laurie Bates et. al. for access to the Database statistics to find out what is not popular/well visited

To increase Database statistics, Federated Searching and "Discovery" were mentioned as ways to drive library website users to the databases- a possible avenue to be investigated by the Reboot committee

Susan mentioned the unfortunate re-pricing of Consumer Reports resulting in its removal from SCPL's Flipster...

To increase statistics, it was suggested to redesign the Library webpage- "Research Help and More" is in very small print and needs greater prominence.

Magazines:

Rino mentioned that Jacaranda will cease to circulate magazines in June(?) so that each location is operating the same way.

Meanwhile, Magazines and Newspapers are being entered into Sierra (possible lending?- not discussed)

Loaning of Machines:

Ipads (Physical machines, Realia) have been entered into Sierra with suppressed records.

The main delay in In-house loan iPads (EQ) and Laptops (Jac) is working out the details of the loan agreement form(s)

Makerspaces:

Jacaranda has purchased a 3-D printer which is housed on a portable cart.

EQ expects to be given a 3-D printer by the Englewood Innovation Center.

Victor mentioned that the Fab Lab is  open for business and is planning to give courses/access to their 3-D printer as well as a mini-course on Arduinos.

Marketing:

Jac and EQ have been using Newspaper ads to augment marketing of programs.

It was suggested to send an Eblast of programs available (with Flyers, if available) to increase potential attendance.

Scanning/Overdrive training/E-bars (devices):

Rino suggested that there be further training in devices to bring all staff up to speed.

Some of the Libraries have or are considering having E-bars of devices.

Victor mentioned that Rino discovered that the Public copier/printers have scanning to USB capability. Victor mentioned that scanning can be done in color. Lisa B. mentioned that scanning is discouraged at Fruitville. Victor/Rino stated that scanning from the Staff PCs results in an email- which creates a Public record of the patron's documents which is not wanted. But scanning from the Public copier does not have this disadvantage and so their is no reason to discourage it.

5/22 Note: Ellen placed the above mentioned Overdrive help/handouts in the I-Drive

Food and Drinks:

Jane Burke asked what the policy on food and drinks is at the other libraries. All mentioned covered drinks are allowed.

Proctoring:

Jane stated Selby has discontinued proctoring and asked whether the other locations still proctor. Rino and Victor stated they still proctor.

I.S, renaming/button/slogan

Ellen asked to reconsider/rename/ or reslogan I.S. committee, to perhaps develop a button.
